These Terms & Conditions apply to all ticket purchases and registrations for conferences organised by UBIQ events, s.r.o., Karpatské námestie 10A, 831 06 Bratislava, Slovakia ("UBIQ Events", "we", "us"). Contact: operations@ubiqevents.com. By completing a booking, you accept these Terms & Conditions on behalf of yourself and any attendees you register.
1.1 A booking is confirmed once you receive a confirmation email from our ticketing platform.
1.2 Tickets are for professional attendees. We may refuse or cancel a booking at our discretion, for example where the attendee is a direct competitor, a solution provider who has not booked a sponsorship package, or where booking information is incomplete or inaccurate. In that case, we will refund the amount paid in full.
1.3 Group tickets must be used by different people from the same organisation, named at the time of booking or before the event.
2.1 Prices are shown in euros and exclude VAT, which is added at the applicable rate.
2.2 Payment can be made by card through our ticketing platform or by bank transfer. Bank transfers must be received within 15 days of the invoice date, and in any case before the event starts.
2.3 If payment is not received on time, we may cancel the booking and release the ticket. Attendees with unpaid bookings may be refused entry.
2.4 Discounts and promotional codes cannot be combined and cannot be applied after a booking is made.
3.1 Tickets are non-refundable once a booking is confirmed.
3.2 If you can no longer attend, you can choose one of these options: (a) send a substitute from your organisation, as described in section 4; or (b) receive a credit for the full amount paid, which can be used for any UBIQ Events conference taking place within 12 months of the original event date.
3.3 Credit requests must be sent in writing to operations@ubiqevents.com at least 14 days before the event starts. No cancellations or credits are possible within 14 days of the start of the event. From that point, the only option is a substitution under section 4.
3.4 Credits are non-transferable to other organisations and cannot be exchanged for cash.
3.5 Not attending the event without notice (a "no-show") does not entitle you to a refund or credit.
3.6 Where the law applies to consumer purchases, the right of withdrawal does not apply, because the booking is for a service related to a leisure or event activity on a specific date (Article 16(l) of Directive 2011/83/EU).
4.1 You can replace a registered attendee with another person at no extra cost. The substitute's name, job title, company and email must be sent to operations@ubiqevents.com no later than 48 hours before the event starts.
4.2 Each ticket admits one named person for the whole duration of the event. A ticket cannot be shared or split between different people across sessions or days.
4.3 Badges are personal and can only be collected by the named attendee, who may be asked to show identification.
5.1 The programme, speakers, session times and topics are subject to change. We will make every reasonable effort to replace a speaker who cannot attend with someone of equal standing.
5.2 Changes to the programme or speakers do not entitle you to a refund or credit.
5.3 We may change the venue to another of a similar standard in the same city. If that happens, your booking remains valid.
6.1 Force Majeure. We are not liable for any failure or delay in holding an event caused by circumstances beyond our reasonable control. These include extreme weather, natural disasters, fire, flood, epidemics or pandemics and related public health measures, government orders or restrictions, war, terrorism or security threats, civil unrest, strikes or industrial action, transport disruption, utility failures, and venue closure or unavailability ("Force Majeure events").
6.2 If a Force Majeure event makes it impossible, unsafe or impractical to hold the event as planned, we may postpone it, relocate it, or change it to a virtual or hybrid format. Your booking stays valid for the new date, venue or format. If you can't attend the rescheduled event, you can send a substitute or request a credit as described in sections 3 and 4.
6.3 If the event has to be cancelled because of a Force Majeure event and cannot be rescheduled, you can choose either: (a) a credit for the full amount paid, valid for any UBIQ Events conference within 12 months; or (b) a refund of the amount paid minus your share of the costs already incurred and not recoverable, including venue and hotel costs, catering, audiovisual and event logistics, speaker travel and accommodation, marketing and promotion, and payment processing and platform fees.
6.4 If we cancel an event for any reason other than a Force Majeure event, you will receive a full refund of the amount paid, or a credit if you prefer.
6.5 Refunds are paid within 30 days of the cancellation notice, using the original payment method.
6.6 We will inform registered attendees by email as soon as a decision is made and will publish updates on the event website.
7.1 Attendees are responsible for their own travel, accommodation, visas and related costs.
7.2 We are not liable for these costs in any circumstances, including when the event is postponed, relocated, changed in format or cancelled. We strongly recommend flexible or refundable bookings and travel insurance that covers event cancellation.
7.3 Any hotel rates we promote are offered by the hotel. The booking is a contract between you and the hotel.
8.1 To the extent permitted by law, our total liability arising from a booking is limited to the amount you paid for it.
8.2 We are not liable for indirect or consequential loss, including loss of profit, business, opportunity or data.
8.3 We are not responsible for the loss, theft or damage of personal belongings at the venue.
8.4 Nothing in these Terms limits liability for death or personal injury caused by negligence, for fraud, or for any other liability that cannot be limited by law.
8.5 Views expressed by speakers, sponsors and other attendees are their own and not those of UBIQ Events.
9.1 Attendees must act professionally and follow the venue's rules and the instructions of our staff.
9.2 We may refuse entry to, or remove, anyone whose behaviour is disruptive, offensive or unsafe, without a refund.
9.3 Unauthorised recording of sessions and unauthorised promotional or sales activity at the event are not allowed.
10.1 Our events may be photographed, filmed and recorded. By attending, you agree that you may appear in images and recordings, which we may use for event reporting and promotion.
10.2 If you do not wish to be photographed, please tell our staff at registration.
11.1 We process personal data in line with our Privacy Policy at ubiqevents.com/privacy-policy.
11.2 Attendee name, job title, company and business email address may be shared with the event's sponsors and partners, who may use it to contact attendees about their products and services relevant to the event.
11.3 If you do not want your details shared, tell us when you book or by emailing operations@ubiqevents.com at least 7 days before the event. You can withdraw from sharing at any time, but details already shared before your request cannot be recalled.
11.4 Your name, job title and company may also appear on your badge.
12.1 These Terms are governed by the laws of the Slovak Republic. Disputes will be settled by the courts of Bratislava. This does not affect any mandatory rights that consumers have under the laws of their country of residence.
12.2 If any part of these Terms is found to be invalid, the rest remains in force.
12.3 We may update these Terms from time to time. The version in force when you booked applies to your booking.
